Your booking, explained

Cancellation &
rescheduling.

Plans can change. Here’s what happens to your booking—and why the notice you give matters.

The same policy applies at all three studios, whether you’re joining us for the first time or recording with us several times a week.

At a glance

How much notice can you give?

All windows are measured back from your scheduled session start time—not by calendar day.

5 or more days before

Full refund.

Cancel at least 5 days before your session starts and receive a full refund.

24 hours to fewer than 5 days before

Full booking credit.

Your booking receives credit for a future session, rather than a refund.

More than 5 but less than 24 hours before

Only the Audio Only rate is retained.

We retain the Audio Only rate for your booked duration. If you booked a higher recording package, we refund the package-price difference. After-hours charges and post-production services—including editing, social clips, and rush delivery—are also refunded.

5 hours or less before

Recording charges are retained.

The full recording-package charge and any after-hours charges are retained. Only post-production services—including editing, social clips, and rush delivery—are refunded.

For cancellations inside 24 hours, the charges retained above are not converted to booking credit.

Moving your session

Rescheduling needs 24 hours’ notice.

We need at least 24 hours’ notice to move a session without late-cancellation charges. With less notice, the same cancellation windows above apply to the original booking.

Moving to another day still leaves your original studio time unfilled, so rescheduling does not waive those charges.

A simple example

Booked for Friday at 3 pm?

  • Thursday at 3 pm is exactly 24 hours before your session: the booking-credit window still applies.
  • Friday at 9 am gives 6 hours’ notice: we retain the Audio Only rate for your booked duration and refund the package difference, after-hours charges, and post-production services.
  • Friday at 10 am gives exactly 5 hours’ notice: we retain the full recording and after-hours charges, and refund only post-production services.

Use the local time of the studio where you booked.

Why we’re consistent

Your time is reserved.
Your engineer is paid.

When you book, we set aside studio time and an engineer specifically for your session. If you cancel at short notice, we still pay your engineer—and it is very unlikely that another customer will book that opening.

Those costs remain even when no recording takes place. The notice windows let us return part of your payment where possible while covering the time and staffing already committed to you.

We know unexpected changes can be frustrating. To treat everyone consistently, we do not make exceptions to these windows. The policy is the same for one-time clients and clients who record with us multiple times a week.

Our commitment to you

We stand behind your time, too.

It is very rare that we have to cancel a session. If Melrose cancels within 24 hours of your start time, you can choose:

A full refund + a free session

Receive a full refund for your booking, plus one free future session matching your original package and booked duration.

Credit for two sessions

If you prefer credit instead of a refund, receive credit for two sessions, each matching your original package and booked duration.
